How it works

Four steps, start to finish

  1. Apply. Tell us who you are and which home games you can cover. It takes a few minutes.
  2. Get picked. One organization works each game, drawn at random from the applications for that night. We email you either way.
  3. Work the game. Bring 6 adults. Run parking, keep the lot clean, help keep things in good order.
  4. Get paid. Half the parking for that game after card processing, within 7 days, with the number posted on this page.

On the night

What your organization actually does

This is work, not a bucket by the gate. Here is the whole job.

  • Run parking. Direct vehicles into the lot, collect $10 per vehicle, and hand every dollar to Coyoteville as you collect it. We count it together.
  • Keep the lot clean. Pick up litter across the lot during the event, then walk it once more at the end so it is clear before anybody leaves.
  • Help keep the crowd in good order. Friendly presence, point people where they are going, keep lanes clear. Anything involving alcohol, a dispute or an injury goes straight to Coyoteville staff, never to your volunteers.
  • Bring 6 adults. Aged 18 or over, for the whole shift, from before gates open until the lot is clear. Someone from Coyoteville is on site the entire time.

The money

Half the parking, and we show you the one deduction

Your organization receives 50 percent of the parking revenue for the game it works, after the 3.25% it costs us to take a card.

That 3.25% is the only thing that comes out, and it is not ours: it is what the card processor charges. No labor, no supplies, no overhead, no Coyoteville expense of any kind. If 300 cars park at $10 each, the parking is $3,000, card processing is $97.5, and your organization is paid $1,451.25.

Anyone paying for parking can also add a gift for your organization. Every cent of a gift is yours. It is not split and the card processing cost is not taken off it.

Payment is made within 7 days of the game. Both the parking total and the payout are published below, so you can check the arithmetic and so can everybody else.

Eligibility

Who can apply

Alice area organizations. Schools and school groups, booster clubs, sports teams, churches and faith groups, youth organizations, civic and service clubs, and nonprofits.

501(c)(3) status is not required. A booster club with a bank account and six reliable adults is exactly who this is for.

Your organization has to bring adults. Anyone under 18 may help with a parent or guardian on site for the whole shift, does not direct traffic, and does not count toward the 6 adult minimum.

The rules

Stated plainly, before you apply

  • One organization per game. No sharing a night between two groups.
  • The pick is random, drawn from the eligible applicants for that game. Applying does not guarantee a game.
  • An organization that does not turn up with at least 6 adults at the agreed time forfeits that game's share in full.
  • Every individual volunteer signs a waiver on the night, before they start. We provide the form, and you can read the waiver in full now so nobody is reading it for the first time in a dark parking lot.
  • Coyoteville counts the vehicles and determines what the parking revenue was for the game, then publishes it here.
  • This is payment for services at an event. It is not a donation or a grant, and we cannot give you a charitable receipt for it.

Things organizations ask

Who can apply to the Parking Fundraiser?

Any Alice area organization: schools and school groups, booster clubs, sports teams, churches, youth organizations, civic clubs and nonprofits. You do not need 501(c)(3) status. You need adults who will turn up.

How much does an organization actually get?

50 percent of the parking revenue for that game after card processing. Card processing is 3.25% of every payment, which is what it costs us to take a card. Nothing else comes out: no labor, no supplies, no overhead. Anyone paying for parking can also add a gift for your organization, and every cent of a gift is yours with nothing deducted.

How are organizations chosen?

One organization works each home game, drawn at random from the applications for that game. Until every applicant has had a game, an organization that already has one is left out of the draw.

What does my organization do on the night?

Run parking, keep the lot clean during and after the event, and help keep the crowd in good order. You bring at least 6 adults for the whole shift. Someone from Coyoteville is on site the entire time. Every volunteer signs a waiver before they start, and you can read it in advance at coyoteville.com/volunteer.

Can students or young people help?

Yes, with a parent or guardian on site for the whole shift. Anyone under 18 does not direct traffic and does not stand in a traffic lane, and does not count toward the adult minimum.

When do we get paid?

Within 7 days of the game, by check or whatever method we agree. The amount and the parking gross it came from are both published on this page.

What if it rains?

Events run rain or shine. If a game is shortened or cancelled, the parking revenue is whatever was actually collected and your organization is paid half of it on the same terms. If no parking was collected there is nothing to split and you go back into the draw for a later game.

What happens if we cannot make it?

Tell us as early as you can and we will put you back in the draw for a later game. Not turning up on the night, or arriving with fewer than 6 adults, forfeits that game's share in full.

Program terms

This is an agreement between Coyoteville and your organization for services at a Coyoteville event. It is not a gift, a grant or a donation. Your organization works the event and is paid a share of the parking money it helps collect.

1. What your organization agrees to do

For the game you are selected for, your organization will run parking, keep the lot clean during and after the event, and help keep the crowd in good order. Coyoteville will tell you where to be and when, and someone from Coyoteville is on site the whole time.

  • Bring at least 6 adults, aged 18 or over, for the whole shift.
  • Arrive when Coyoteville asks, which is normally before gates open, and stay until the lot is clear.
  • Direct vehicles, collect the parking fee, and hand every dollar to Coyoteville as collected.
  • Pick up litter across the lot during the event and walk it once more at the end.
  • Point people to Coyoteville staff for anything involving alcohol, a dispute or an injury. Your volunteers do not handle those.

2. Volunteers, adults and anyone under 18

Every individual who works the event signs a waiver on the night, before they start. Coyoteville provides the form. A volunteer who has not signed one does not work.

ANYONE UNDER 18 MAY HELP ONLY WITH A PARENT OR GUARDIAN PRESENT ON SITE FOR THE WHOLE SHIFT, AND MAY NOT DIRECT TRAFFIC OR STAND IN A TRAFFIC LANE AT ANY TIME. MINORS DO NOT COUNT TOWARD THE 6 ADULT MINIMUM.

3. What your organization is paid

Your organization receives 50 percent of the parking revenue for that game after card processing costs. Card processing is 3.25 percent of every payment, which is what it costs Coyoteville to take a card. Nothing else is deducted before the split: no labor, no supplies, no overhead, no Coyoteville expense of any kind.

Coyoteville counts the vehicles and determines the parking revenue for the game. That figure is published on the Parking Fundraiser page alongside your organization's name and the amount paid, so the arithmetic is visible to anyone who wants to check it.

Payment is made within 7 days of the game, by check or by whatever method the two of us agree.

Anyone paying for parking may also add a gift for your organization. Every cent of a gift goes to your organization. It is not split, and card processing is not deducted from it.

4. If your organization does not turn up

IF YOUR ORGANIZATION DOES NOT ARRIVE WITH AT LEAST 6 ADULTS AT THE AGREED TIME, IT FORFEITS ITS SHARE FOR THAT GAME IN FULL. COYOTEVILLE WILL STILL RUN PARKING AND WILL OWE YOUR ORGANIZATION NOTHING FOR THAT NIGHT.

Tell us as early as you can if something has gone wrong. A game you withdraw from in advance does not count against you and we will put you back in the draw for a later one. Not turning up without telling us does.

5. How organizations are selected

One organization works each home game. The organization is drawn at random from the eligible applications for that game. Until every applicant has had a game, an organization that has already been awarded one is left out of the draw, so the first game an organization works is not the last.

Applying does not guarantee a game. Coyoteville may decline any application, and may end this program or change these terms for future games at any time. Neither affects a game you have already been awarded.

6. Insurance, conduct and liability

Your volunteers are your organization's people, not Coyoteville's employees, and your organization is responsible for their conduct. Coyoteville is not responsible for injury to or loss suffered by your volunteers, beyond what the law requires of it as the operator of the site.

Coyoteville may ask any individual to stop working the event at any time, for any reason. If that leaves your organization below 6 adults, the forfeit in Section 4 does not apply.

7. Weather and cancellation

Events run rain or shine. If Coyoteville shortens or cancels a game, the parking revenue for that game is whatever was actually collected, and your organization is paid half of it on the same terms. If no parking was collected there is nothing to split, and your organization goes back into the draw for a later game.

8. Disputes

WHERE THE TWO OF US DISAGREE ABOUT WHAT WAS COLLECTED, WHAT WAS OWED, OR WHETHER THE OBLIGATIONS IN THIS AGREEMENT WERE MET, COYOTEVILLE MAKES THE FINAL DETERMINATION. THIS AGREEMENT IS GOVERNED BY THE LAWS OF THE STATE OF TEXAS.

9. Signature

Typing your name below is your signature, and is intended to have the same effect as a signature on paper under the Texas Uniform Electronic Transactions Act. You confirm you are authorized to enter into this agreement for your organization.
